Registration of a workplace with the Social Security Institution (SGK) is a legally required procedure that must be completed no later than the date when insured employees start work. The SGK has made workplace registration mandatory to simplify employers’ administrative responsibilities. Employers can register their workplace in person at an SGK office or submit the application electronically. To apply:
- First, visit the official SGK website.
- After logging in, click the “Other SGK Applications” section.
- Then enter the Workplace Declaration section and provide the requested information.
All requested information must be entered completely and accurately. Once the steps are completed correctly, the SGK workplace registration is finalized. Registering a workplace with the SGK is legally mandatory; failure to comply may result in an administrative fine for the employer.
Where Can SGK Workplace Registration Be Done?
SGK workplace registration is processed through the SGK’s official website. After accessing the Social Security Center online:
- Enter the workplace tax identification number.
- Provide the start date for the insured employee.
- Accurately describe the nature of the business.
- Select the number of employees who will work at the workplace.
- Choose the workplace activity areas.
- Enter the workplace address details.
- Provide an email address and the main workplace address.
What Documents Are Required for SGK Workplace Registration?
SGK workplace registration documents must be prepared by those applying directly to the Social Security Institution. Required items include:
- The workplace registration declaration containing the registration details. If the application is submitted online, an approval printout should be obtained at the end of the process. If the application is not online, the SGK workplace declaration form must be completed.
- A photocopy of the employer’s identity document.
- The employer’s signature declaration.
- When a legal representative applies, a power of attorney, the representative’s identity photocopy, and the representative’s signature declaration are required.
- If the workplace is subject to taxation, a photocopy of the tax certificate (tax plate) is required.
- Registrations on behalf of legal entities require an up-to-date copy of the company’s trade registry gazette and sample signature circulars of company partners.
How Can an SGK Workplace Declaration Be Canceled?
Cancelling an SGK workplace declaration cannot be completed online through the official SGK site by the employer. To cancel a workplace declaration, a written petition stating the reason must be submitted in person to the Social Security Center. Likewise, changes such as address updates, trade name changes, or other modifications cannot be updated online. For these changes, a written application to the Social Security Institution is required.
Is There a Penalty for Late Submission of the SGK Workplace Opening Declaration?
Delays in submitting the SGK workplace opening declaration are subject to legal penalties. If an employer files the workplace registration after the date employees were first insured, the following administrative fines apply:
- If the employer is not required to keep accounting books, a fine equal to the gross minimum wage will be imposed.
- If the employer keeps books under the operating business method, a fine equal to twice the gross minimum wage will be applied.
- If the employer keeps books under the balance sheet method, a fine equal to three times the gross minimum wage will be applied.
To avoid administrative fines, the required documents must be submitted to the Social Security Institution within one week after applying online. If the documents are not provided within this period, a fine will be imposed.
How Is SGK Workplace Registration Done Online?
Online SGK workplace registration begins on the SGK’s official website. The steps are:
- First, the employer should access the SGK’s registration portal and log in.
- Enter the authorized person’s identification details such as national ID number, province of registry, and year of birth.
- Select the appropriate form: individual workplace declaration, public legal entity workplace declaration, or private legal entity workplace declaration.
- If all requested information is entered accurately and completely, providing approval online completes the registration process.
The SGK enables online processing to ease employer procedures and reduce bureaucratic obstacles.
Workplace Declaration in Electronic Form
Workplace declarations can be submitted electronically in accordance with Law No. 5510. Declarations may be filed in the following ways:
- In person at the provincial directorates of the Social Security Center.
- By mail or courier to the relevant provincial directorate of the Social Security Center.
- Online through the electronic application system.
Applicants submitting online must provide complete and accurate information; incorrect information will result in rejection. When all fields are filled correctly, click the save button to complete registration. After saving, a message such as “Your registration information has been saved” will appear. Once this message appears, the workplace declaration and supporting documents must be delivered to the Social Security Institution within seven days. If the documents are not submitted within seven days, the application will be canceled. Workplace registration must be completed by the latest date when insured employees begin work; otherwise, an administrative fine will apply.
SGK Workplace Registration Timeframe
SGK workplace registration timeframes are set under Law No. 5510 and can be done in person or by mail. Applications are processed from the date they are received. When a workplace is transferred or relocated, registration must be completed within 10 days. If the workplace owner has passed away, heirs must submit the declaration within three months. If the employer supplies the required documents correctly, the SGK should receive them within one week for processing. Late registration results in administrative fines.
How to Apply for an SGK E-Declaration Password?
Applications for the SGK e-declaration password can be made online. At the final step of e-SGK registration, the insured person’s national ID must be registered for e-insurance. After SGK approves the workplace registration, a password is assigned to the e-insurance user. To obtain this password, e-declaration approval is required. Documents needed for the password include:
- The SGK e-declaration application form and the contract must be completed.
- While filling out the e-declaration password documents, the authorized person must sign the first and second copies of the contract.
Additionally, the identity photocopy and sample signature of the authorized person must be attached to the password documents.
